ANNOUNCEMENTS

·         Meeting Rooms

o   7-9, Tuesday, Boelter (seats 48 people)

o   Trying to book rooms for Wednesday or Thursday

 

DISCUSSION FOR PROFESSIONAL, EXTERNAL, AND PROGRAMMING

·         Proposal:

o   External stays as external and works with PFC/Nationals.

o   Programming’s original position sounds like Prof. Affairsàcombine

o   Social should plan retreat—possibly become D. of Brotherhood instead

o   Recruitment should plan banquet

·         Summary of Discussion:

o   Programming description was very vague

o   Committee spearheaded everything

o   Banquet was very minimal

o   Only in-house programs we have are retreat and banquet, which took a lot of time already and had no time to implement other in-house programs

o   Reason for banquet to be under recruitment: recruitment after rush did not do anything—it would give something to recruitment to do

o   However, retreat has a lot off planning and thinking for group bondings that is a larger scale than social

o   In the future, programming would have other programs to upkeep aside from retreat and banquet which would be a lot of work in itself

o   We are new and we need to focus on other programs (not banquet/retreat) since we are building from scratch

·         Solution: Kristina uses this quarter as a trial quarter to see if it is possible to be able to implement both retreat and banquet as well as come up/start other in-house programs

o   External will stay the same

o   Professionalism is back to a Directors position and is different aspect to programming and will focus more on career-based things, like resumes, what to do after college, etc

o   Programming (will now be called Internal Affairs) should focus on Study abroad/medical mission trips/CPR; should bring stuff for in-house to do

VP Admin

·         Point System Proposalàsend out to board

·         Disciplinary Board = Jury Duty

·         Representatives should be done by class, not year

·         Get it approved before summer ends

VP External

·         Table tents: need to fill out a form

·         PFC: nothing going on with PFC right now

·         Department Emails: need to contact people

VP Finance

·         Went to bank to get account transferred to Hillary

·         Official credit card will come soon

·         Have a due date for each event to ask for DEM funds—DEADLINE: Before the quarter you want to hold the events starts

·         Possible retreat funds but we need to start calendaring

VP Instruction

·         Ordered pledge pins, binders, pens

·         Pledge Calendar has been planned already

·         Big Interest Form will be released soon

·         6 total pledge meetings—want to cross them before Thanksgiving break, which means 1 less pledge meeting

·         Initiation night and first pledge meeting will be on the same week

·         All pledge meetings should be mandatory because house presence mattersà we are new and are going against AED/PhiDE

VP Internal

·         Fall Ideas

o   Mr. MedàNo longer doing because Battle of Frats

o   Blood Drive

§  Success rates not that high

§  Should work/co-host with another org that already does blood drive

§  ARC does not have presence but we can partner with them

·         Winter Ideas

o   Get CPR certified (might be moved to fall instead)

o   Can get certified for other things as well, such as hypertension

o   Have Kid’s Day Carnival

§  Rent/ask to use a park

§  Have health related event/games

·         Spring Ideas

o   Health Fair

·         Summer Retreat

o   Possible camping in Whittier

o   Date: Most likely near the end of August

VP Recruitment

·         Photo shoot information:

o   Headshots for Alphas during 0 week, Tuesday

o   Rush photo shoot pictures will be on August 16th

o   Those who cannot make photo shoot will take pictures on during Alpha’s headshots day

·         Flyers: 3000 total

o   Flyering for 7 days

o   No rationing

o   First person in shift will be in charge of flyers

o   Last person in shift will be in charge of passing on the flyers to the first person of the next shift

·         Interview rooms cannot be booked until Session C

·         Deliberations

o   Virtual Delibs

o   Track days rushees will come

o   Voting will be facilitated by Janice and Tiffany through index cards

o   Family/friends of rushee cannot be in room during delibs

o   Time limit per person

o   Those who go over time limit will be pushed to the end

·         Bids

o   Final decision is given to VPI

o   Compromise to allow pledge parents to have a say in bidding, BASED ON MAJORITY VOTE FOR RUSHEES

o   Four events, Tuesday-Friday

o   Rush briefing night in zero week

o   Tuesday: Get to know the chapter/speed dating

o   Wednesday: Professional Night/Speeches/GET INTO CONTACT WITH BRIAN WU ALUMNI FROM PANEL

o   Thursday: Game Night

o   Friday: Bonfire (Invite Only)

§  Still up in the air because PhiDE also does bonfire

§  Should have invite only event because it makes it more competitive

·         Rush Theme: DEM Perspective

o   Eye chart tank ideaàneeds to be given to Maiko

o   Profile pics idea still in process; will be at UCLA

·         Volunteering Opportunities

o   Hospitals—many require advanced applications and own transportation

o   But can get clinical experience and letters of rec

o   Let Will know if interested

·         Monday Night Mission

o   Advanced sign up process

o   Small groups of 3

·         Hospices—will post list, wants volunteers as soon as possible

o   Compassionate Care: Mid Wilshire Area, requires car, get certified/trained

o   Hospice Care: Burbank: Hospice Care

o   One in Silverlake

·         Aids Project

o   Can work on-going

o   Can volunteer for AIDS Walk

·         BWP

o   Two choices: Blacklight Party vs. Battle of the Brains

o   Blacklight Party: have DJ, large space (might have to get warehouse), cool lights, sell white t-shirts and water // will be hard to get UCLA to host event, requires a lot of logistical planning and we would have to provide our own transportation system

o   Battle of the Fraternities: Originally just MCAT questions but can broaden scope to include more orgs, jeopardy/family feud style game // although attendance is a concern, members would want to come to support their frat/org, easier to get UCLA to host event, can apply for education funds, prizes can be buy-in will be reimbursed

o   Overall consensus is on Battle of the Fraternity

o   Send out proposal to house soon

·         BSP

o   We can keep STAND but should only bring in talent we can hire for free

o   Can stay in Kerckhoff and still raise awareness

o   Should be less large and costly

o   Can be an in-house learning event

o   Find more sponsors so we can get more free things

·         Workshops given my actives

·         Resumes: peer edit/give out samples

·         Panel: asking people from different professions

D Public Relations

·         Ad board—got thrown out L have to start over </3

·         Need it out soon—preferably by first week
